What is Kexu?

Quick Notes

Put text, images, audio, video, documents and links into one note, then record, organize, view and export in one place.

1. Overview

Quick Notes is not just for typing text. You can put text, images, audio, video, web pages, PDF and Word files into one note and record, organize, view and export everything in one place.

When you paste complex content, the system intelligently recognizes headings, lists, tables, formulas, code, links and images, reducing the work of reformatting.

When pasting AI-generated content (such as Qwen, Doubao, DeepSeek, etc.), the system automatically detects and preserves Markdown formatting, tables, formulas and code blocks — no manual adjustment needed.

You can also simply use it as a plain text notes app; images, documents, audio/video, formulas and tables are available when you need them, so you do not have to learn everything at once.

  • Organize complex content faster: paste text, web content, tables, formulas and code directly into a note and let the system convert them into matching structures.
  • Bring different materials together: insert images, audio, video and documents into the body and view, play, parse or open them when needed.
  • Keep key positions from learning: write video bookmarks, screenshots, video clips and transcriptions into notes and return to the original content via time positions.
  • Find key points in long notes quickly: use auto-numbered four-level headings to generate an outline, or jump via image, video and audio indexes.
  • Make your records keep working: export notes to PDF, DOCX or a long image for reading, saving, printing and sharing.

2. Quick start & two states

One-minute start: enter Quick Notes → tap the card → type a name in the title line (e.g. "Monday meeting") → tap Enter to switch to the body → place the cursor in a paragraph you want as a heading → tap the first bottom button and choose "Level 1", and an auto "1." number appears → tap the toolbar image icon to insert photos, videos, audio or documents → tap the check mark at the top right to save and exit editing.

To create or switch notes, tap "⋯" → New.

A note has two states: Browse state (cannot type or edit, bottom formatting toolbar hidden, top-right shows the edit pencil) and Edit state (can type and edit, bottom toolbar visible, top-right shows the check mark).

Tap the edit pencil to enter Edit state; tap the check mark to save and exit. While editing the note name, the bottom formatting toolbar is hidden; it reappears when you tap back into the body.

  • Note title line: at the very top of the body, used to name the whole note.
  • Headings level 1–4: inside the body, used for auto-numbering, structuring levels and generating an outline, shown as Levels 1–4.
  • Media cards: independent blocks created when images, videos, audio, documents or links are inserted. The note name distinguishes files; body headings organize the note's internal structure.

3. Common buttons & menus

Top bar: Back (save and return to Home), Undo, Redo (long-press the undo icon and choose from the menu), "⋯" (Display, Index, New, Image-to-Text and Export), edit pencil, and check mark (save, exit editing, and clear this session's undo history).

Bottom toolbar (edit state): button 1 sets body/Level 1–4; button 2 (Aa) sets font size; button 3 sets regular/bold/italic/underline/strikethrough; button 4 sets left/center/right/justify alignment; the palette sets text color; the upload icon inserts photos, videos, audio, documents and assets.

More menu (⋯): Show/Hide Cards (expand or collapse all media cards), Index (outline, images, videos, audio), New, Image-to-Text, Export Preview, Export as PDF, Export as DOCX, and Scroll Screenshot (long image).

The "Insert Document" entry is: Edit state → bottom upload icon → Insert Document.

4. Create & manage notes

Create a note: tap "⋯" → New in the top bar, or tap the add button in the note list. The system creates and opens a blank note; change the name and start recording.

The number of notes you can create per project is set by your current membership; once you reach the limit, the interface shows the relevant membership info.

Switch notes: tap "⋯" → New to open the list, then tap a target note. The system saves the current note and opens the selected one.

Rename a note: tap the title line at the top of the body, type a new name, and tap the body or a blank area to finish. If the name duplicates an existing note, the system distinguishes them and will not overwrite the original.

Delete a whole note: there is no delete entry in the edit page; do it in Archive: Archive → the project → note list → delete mode → select notes → confirm delete. Notes protected by the project structure or currently in use cannot be deleted and are disabled.

"Insert Document" creates a document card in the current note; "Import as New Note" creates a new note in a selected project via "Open with Kexu" in the Files app or another app.

5. Four-level headings & text editing

Heading numbering: Level 1 uses "1. 2. 3…"; Level 2 uses "(1) (2) (3)…"; Level 3 uses "1. 2. 3…" in a sub-level style; Level 4 uses "(1) (2) (3)…"; Body is a plain paragraph with no number. (Chinese UI uses 一、/(一)/1、/(1).)

How to set: place the cursor in a paragraph or select multiple paragraphs, tap the first bottom button, and choose Body, Level 1, Level 2, Level 3 or Level 4.

Headings automatically: add the matching number, join the "Index—Outline", keep same-level headings in body order, renumber lower-level headings under their parent, and update later numbers after add/delete/level changes.

Heading editing rules: pressing Enter at the end of a heading continues numbering in the new paragraph; pressing Backspace after the number on an empty heading line removes the number and restores Body; the cursor never enters the auto number; tapping the current heading level again restores that paragraph to Body.

Headings use a unified style and ignore custom font size, color, italic, underline, strikethrough and alignment; a line containing an image, video, audio or document card cannot be set as a heading.

When you paste consecutive paragraphs starting with "1." "(1)" "1." "(1)", the system converts them into matching heading levels and outline entries.

Formatting scope: with only the cursor, font size, format and color apply to text typed afterwards; with selected text they apply to the selection; with multiple paragraphs selected, paragraph settings such as headings and alignment apply in batch.

Typing before/after cards: tap the left edge of a card to place the cursor before it, and the right edge to place it after. Document and link cards have left/middle/right zones in edit state: left and right place the cursor, middle opens the content.

6. Formatting settings

Font size: bottom Aa, options 14, 16, 18, 20, 24, default 16. Tap the current size again to restore 16. Heading paragraphs do not take custom font sizes.

Text format: the 3rd bottom button, options regular, bold, italic, underline and strikethrough, which can be combined; tapping an enabled format cancels it; "Regular" clears all character formats.

"Body" and "Regular" differ: Body cancels heading levels and auto-numbering; Regular clears bold, italic, underline and strikethrough.

Alignment: the 4th bottom button, options left, center, right and justify; tapping the current alignment again restores left; a new paragraph starts left-aligned; heading paragraphs and pure-card lines ignore custom alignment.

Text color: bottom palette, options black, red, orange, blue and mint green; tapping the current color again restores black; color combines with font size and character format; headings use a fixed color.

Lists and code: there are no dedicated list or code-block buttons in the toolbar; when you paste list or code content from an app that supports rich-text copy, the system writes it using the structures Quick Notes supports.

7. Smart paste & image-to-text

Pasting plain text and rich text: in edit state, place the cursor and use the system Paste. Multiple paragraphs are written in original order; bold, headings, lists and code use supported styles; consecutive paragraphs starting with a four-level number become matching headings and outline entries. A single plain-text paste is limited to 200,000 characters; beyond that you are asked to paste in parts.

Pasting a URL: when the clipboard is a single-line URL, the system creates a link card with the site name or domain, a copy-URL button, the page title, a page summary, and expand/collapse buttons. If the network is unavailable or the site refuses to be read, the card still keeps the original URL. A URL mixed with other text in the same paragraph is pasted as plain text, not a link card.

Pasting tables: tab-separated, pipe and web tables are supported. Up to 64 rows × 16 columns create an editable table; beyond that it is inserted as plain text with a "table too large" message. To edit a table: enter Edit state, long-press the table, edit cells in the table editor, then undo, redo, delete or save.

Pasting formulas: formula text in a supported syntax becomes a formula block; long-press it to open the formula editor to modify or delete; long formulas can be swiped horizontally; a syntax error shows a "formula format incorrect" message.

Pasting clipboard images: copy an image and paste it in a note; the system saves the image and creates an image card.

Image-to-text: Edit state → "⋯" → Image-to-Text → pick images from Photos → wait for recognition → results are written at the cursor. Up to 10 images per run, recognized in selection order; clear, upright, high-contrast text images recognize more reliably; handwriting, glare, blur, tilt or occlusion lower accuracy; on failure, crop or retry with a clearer image.

8. Inserting photos, audio & video

Opening the insert menu: Edit state → bottom upload icon. The menu offers Choose Photos, Choose Video, Choose Audio, Insert Document and Insert Asset. Inserted content appears at the cursor as a media card.

Common media-card operations: new cards are collapsed by default; tap the eye icon to expand/collapse one card; use "⋯" → Show/Hide Cards for all cards; cards reopen collapsed; a card shows a "file missing" notice when the file is unavailable. To delete a normal media card: enter Edit state, select the card or place the cursor after it, press Backspace, and undo before exiting edit if needed.

Insert photos: tap upload → Choose Photos → pick from the system Photos and confirm. Photos are numbered "Image-1, Image-2…"; up to 60 per selection; Live Photos are not inserted as static photos; cancelling the system picker inserts nothing.

Insert audio: tap upload → Choose Audio. Audio is numbered "Audio-1, Audio-2…". Once expanded, an audio card lets you go back 10s, play/pause, go forward 10s and drag progress. Playing another audio or video card pauses the current media to avoid overlapping sound.

Insert video: tap upload → Choose Video. Video is numbered "Video-1, Video-2…". "Choose Video" inserts an in-note video card, different from the main video entry in Video Learning. Video-card operations: tap the center to play/pause, drag the progress bar to seek, tap the picture to show/hide controls, long-press the picture for fullscreen, single-tap the top-left button for in-app floating, and long-press the top-left button for system Picture-in-Picture. Collapsing a video card pauses playback; expanding resumes the already-loaded player.

In-app floating: expand the video card → single-tap the top-left button → drag the small window to move it, pinch to resize, drag to the screen edge to collapse to an icon, and tap close to exit. Only one floating video runs at a time; the small window avoids the keyboard when it appears.

System Picture-in-Picture: expand the video card → long-press the top-left button → the system starts PiP so you can switch to the desktop or other apps and keep watching. System PiP and in-app floating are mutually exclusive — only one video runs at a time. Unsupported devices, empty files or invalid files show a message.

Fullscreen: long-press the video picture to enter fullscreen; exiting returns to the original note and playback position.

9. Inserting documents & assets

Supported document formats: PDF, Word (DOC, DOCX), WPS, PPT, Excel, CSV, TXT, Markdown, HTML, RTF and EPUB. Steps: place the cursor, tap upload → Insert Document, choose a file and confirm. Documents are numbered by type, e.g. PDF-1, Word-1, TXT-1.

How each type opens and what its card can do: PDF opens in-app with one-tap parse; TXT and CSV open in-app as text with one-tap copy; Markdown opens in-app for reading with one-tap copy; HTML opens in-app as a web page; Word, WPS, PPT, Excel, RTF and EPUB open in a system-supported app to view the original file.

PDF one-tap parse: tap "Parse" on the PDF card's top bar to read the PDF text and insert it into the note. Encrypted, protected, empty or unreadable PDFs show a failure reason.

Document one-tap copy: TXT, CSV and Markdown cards provide "Copy" on the top bar to copy the file body to the system clipboard. Viewing/copying is limited to 200,000 characters; beyond that you are told the content is too long.

Document-card tap zones: the top-left shows the type number (PDF-N, Word-N, TXT-N…); the top-middle shows "Parse" for PDF and "Copy" for TXT/CSV/Markdown; the top-right expands/collapses; in browse state tap the body to open; in edit state tap the middle to open and the left/right zones to place the cursor.

Insert assets: upload → Insert Asset. After selecting a file the system detects its type and inserts it as a photo, video, audio or document. Unsupported file types show a message.

10. Index & module integration

Index entry: top "⋯" → Index. Tabs include Outline (Level 1–4 in body order and level), Images, Videos and Audio (external media cards in the current note). How to use: open Index, choose a tab, tap an item, and the body scrolls to the matching heading or card. The outline is generated from Levels 1–4 and is empty if no headings are set.

Indexes shown in different modules: Quick Notes shows Outline/Images/Videos/Audio; Video Learning shows Outline/Bookmarks/Images/Videos/Audio; Transcription shows Outline/Bookmarks/Images/Videos/Audio.

What Video Learning writes into notes: video bookmarks (a time-stamped bookmark line that returns to the main video position), current-frame screenshots (a screenshot card that returns to that frame), batch key frames (multiple screenshot cards in selection order), and video clips (a playable clip card showing start/end times that can return to the main video).

Finding learning content: bookmarks, learning screenshots and video clips are found in the Video Learning index; body headings and external images/videos/audio are found in the Quick Notes index.

What Transcription writes into notes: transcribed text (editable, formatable and exportable once in the body) and audio clips (inserted as cards that can play and jump back to the main audio). Finding transcription content: audio clips are in the Transcription index; body headings and external media are in the Quick Notes index.

Learning bookmarks, screenshots and clips are viewed in the Video Learning or Transcription index; body content is never lost regardless of where you open the index.

11. Import, export & sharing

Import as a new note from outside: PDF and DOCX are supported via system share or "Open with Kexu". Steps: pick a PDF or DOCX in the Files app or another app, choose "Open with Kexu" or share to Kexu, select a target project, and the system creates and opens a new note. Import aims at editable content; complex pagination, special fonts, tables and image layouts are converted into structures Quick Notes supports and can be tidied later.

Export preview: top "⋯" → Export Preview shows text, images, tables and formulas laid out on paper pages. Audio and video appear as static content in exported files, not as players. Tap the round button at the top right to exit the preview.

Export PDF: tap "⋯" → Export as PDF → wait for the file → save or send from the system share sheet. Empty notes cannot be exported; PDF suits reading, printing and sharing; audio and video cannot play inside a PDF.

Export DOCX: tap "⋯" → Export as DOCX → wait for the file → save or send from the share sheet. DOCX can be viewed and edited in Word-compatible apps; audio and video are not written as playable content.

Create a long image: top "⋯" → Scroll Screenshot → enter scroll-screenshot mode → use the top-center button to start/cancel the frame selection → tap the check mark on the right to generate the long image → it is saved to the note's long-image archive and can be shared → tap the close button on the left to exit. The body is limited to 10,000 characters; beyond that split the content or export PDF. The bottom formatting toolbar is hidden in this mode.

Export in Archive: the read-only note view in Archive supports exporting PDF and DOCX, convenient for sharing right after viewing.

12. Saving, archive & limits

Auto-save: the system saves during editing and again at these points: tapping the check mark, switching notes, returning Home, the app going to the background, and leaving the current edit page.

Check-mark save: tapping the top check mark saves the note, exits edit state, and clears this session's undo history.

Undo and redo: tap the undo icon to undo the last step; long-press undo → Redo to restore it; deleted text or cards can be undone before exiting edit state; after tapping the check mark you can no longer undo this editing session.

View and delete in Archive: Archive → the project → note list → tap a note to view read-only; to delete, enter delete mode in the archive note list, select one or more notes, and confirm. Protected notes cannot be selected, and deletion cannot be undone via the editor.

Local content and backup: note content and inserted material are stored in the local project; important material can be exported regularly as PDF, DOCX or a project file.

Quantities and limits: up to 60 photos per selection; up to 10 images per image-to-text run; up to 200,000 characters per plain-text paste; up to 200,000 characters for TXT/CSV/Markdown viewing or copying; editable pasted tables up to 64 rows × 16 columns; scroll screenshots up to 10,000 body characters; the number of notes per project is set by your current membership.

Permissions: choosing photos and image-to-text need photo access; choosing videos need photo or file access; choosing audio, inserting documents and inserting assets need file access; recording in Video Learning and Transcription needs the microphone. Refused permissions stop the corresponding feature; follow the on-screen prompt to re-enable it in system settings.
